Show Only Matching Products with a Metafield-Based Conditional Worksheet
On this page
You can filter your Shopify products and variants in Mixtable by metafield values. This lets you work with just the products that match specific criteria, like showing only summer products, or variants assigned to a particular warehouse.
Common use cases:
- Show only products where a “Season” metafield equals “Summer”
- Show only variants where a “Warehouse” metafield equals “LA”
- Show only variants whose parent product has a specific metafield value
Before you start
Make sure:
- The metafield you want to filter by is defined in Shopify (go to Settings → Custom data)
- You know which worksheet type you need:
- Products (no variants): for filtering products
- Products (with variants): for filtering variants
Filter products by metafield
Use this to create a worksheet that only shows Shopify products matching a metafield value.
- Click the + at the end of the worksheet tabs, or choose Worksheet > Add worksheet… from the menu bar
- Choose Shopify data worksheet, then click Continue
- Select Products (no variants)
- On the Choose your columns step, keep the suggested columns or pick your own, then click Continue
- On the Which rows should we load? step, choose Only rows that match rules
- Click Add condition
- Select the metafield you want to filter by (shown by name)
- Choose a comparison (like Equals)
- Enter the value you want to match
- Click Create Worksheet
Mixtable will load only the products that match your metafield criteria.
The value box matches the metafield’s type: a true or false metafield shows Yes and No buttons, a number metafield takes a number, and a date and time metafield takes a date.
If a product later stops matching your metafield criteria, its row may become empty.
Filter variants by metafield
Use this to create a worksheet with Shopify variants, filtered by either:
- A variant metafield value
- A parent product metafield value
- Click the + at the end of the worksheet tabs, or choose Worksheet > Add worksheet… from the menu bar
- Choose Shopify data worksheet, then click Continue
- Select Products (with variants)
- On the Choose your columns step, keep the suggested columns or pick your own, then click Continue
- On the Which rows should we load? step, choose Only rows that match rules
- Click Add condition
- Select the metafield you want to filter by
- Choose a comparison and enter the value
- Click Create Worksheet
Note: In a variants worksheet, you can filter by both variant metafields and product metafields. If you have the same metafield name on both, you’ll see multiple options in the list, so choose the one that matches what you want to filter.
Edit and sync your changes
Once your Conditional Worksheet finishes loading:
- Make your edits in the spreadsheet
- Click Sync at the top right of the spreadsheet, review your changes in the preview that opens, then click Sync again
Change your filter criteria
To adjust your Conditional Worksheet criteria later:
- Open the worksheet
- Click Change worksheet conditions to the left of Share at the top right of the spreadsheet. You can also choose Worksheet > Change worksheet conditions… from the menu bar, or click the ▾ on the worksheet’s tab (or right-click the tab) and choose it there
- In the Conditional Worksheet details window, update your conditions
- Click Save Conditional Worksheet criteria
Mixtable will refresh the worksheet to show rows matching your new filter. Rows for Shopify products or variants that matched the old criteria, but do not match the new criteria, may become empty.
You can also click Add group to combine metafield conditions with other rules using different all or any choices. The filter as a whole, and each group, can also be set to Include or Exclude the items that match, so you can leave out products with a certain metafield value instead. For complete grouping instructions, see set up a Conditional Worksheet.
Troubleshooting
My metafield isn’t showing as a filter option
Make sure the metafield definition exists in Shopify (check Settings → Custom data), then try again.
Not all metafield types appear
Conditional Worksheets support single-value metafields of these types: text, URL, color, integer, decimal, true or false, date and time, and single references. Other types, such as list metafields and date (without time) metafields, aren’t available for filtering.
I see empty rows after changing a filter
This can happen when Shopify data no longer matches the Conditional Worksheet criteria. You can leave the rows in place, delete them manually, or click the Worksheet menu and select Remove Empty Rows.
